Introduction

Welcome to Perfect Smile Turkey. This document outlines the rights and responsibilities of both you, our valued patient, and our clinic when you receive services from us. By using our services, you agree to these terms. We believe in transparency and aim to make the entire process clear for you.

1. Your Appointments

  • New Patient Preparation: For your first appointment at our clinic, we kindly request that you arrive 10 minutes prior to the scheduled time to allow for the completion of all necessary forms. Pre-treatment consent forms will be sent to you via email. Completing these forms before your arrival helps ensure we can begin your appointment promptly.
  • Punctuality: For all appointments, please arrive on time. If you anticipate being late, please call us in advance. Failure to arrive on time may require rescheduling your appointment to avoid impacting the schedule of other patients. We allocate specific time slots for each appointment, and delays can affect the entire day's schedule.

2. Appointment Cancellations and Changes

  • Cancellation Notice: If you are unable to attend your appointment, please contact us as soon as possible. Considering international travel arrangements, we ask for reasonable notice. Typically, we can offer flexibility for cancellations made [21 Working Days] in advance. For shorter notice periods or failure to attend an appointment, any deposit paid may not be refundable.
  • Repeated Cancellations: We reserve the right to discontinue ongoing treatment for patients who miss or cancel appointments at the last minute without prior notice on three occasions.

3. Deposits and Payments

  • Deposit Policy: All appointments require an upfront deposit to secure your booking and schedule your treatment. This deposit is refundable if you cancel within the specified notice period mentioned above.
    • New Patient Consultation Deposit 100 Eur
    • Treatment Plan Deposit: %50
  • Payment Options: We offer various payment methods to accommodate your treatment costs. Please discuss the details with our finance team.
  • Important Note (Custom-Made Devices): Please be aware that custom-made medical devices such as aligners, retainers, crowns, bridges, dentures, etc., are exempt from cancellation or refund rights once manufacturing has commenced, in accordance with consumer legislation.

4. Treatment Guarantee

At Perfect Smile Turkey, we stand behind the restorative and cosmetic treatments we provide. We offer a 2 year guarantee on specific treatments. The validity of this guarantee is subject to the following conditions:

  • Any necessary repairs must be carried out exclusively at Perfect Smile Turkey.
  • You must attend regular check-up appointments every 6 months following the completion of your treatment.
  • Exclusions from Guarantee: Breakages due to trauma, staining or failure caused by inadequate oral hygiene, new decay, gum recession, recurrence of gum disease.
  • Any intervention or work performed by another clinic will void the guarantee, and no compensation will be provided for such external treatments.
  • We strongly recommend regular professional cleanings and check-ups to ensure the longevity of your treatment.

5. Refunds

  • If you cancel your appointment within the specified notice period, your deposit will be fully refunded.
  • Please allow up to 7 working days for refunds to be processed.
  • Refunds cannot be issued for custom-made medical devices once manufacturing has begun (see Article 3).

6. Feedback and Complaints

  • Your satisfaction is our priority. We value all feedback, whether positive or negative, regarding our services. Please contact us via help@perfectsmileturkey.com to share your feedback.
  • If you wish to make a formal complaint, please send a detailed email to our clinic manager at info@perfectsmileturkey.com . You will receive an acknowledgement within 48 hours, and the resolution process will be initiated.

7. General Information

  • Zero Tolerance Policy: Any verbal or physical abuse towards our staff or other persons within the clinic premises will result in immediate termination of treatment and dismissal from the clinic. Legal action may be taken in necessary cases.
  • Medical History: A detailed medical history will be taken during your initial visit. It is your responsibility to inform us of any changes in your health status (medications, allergies, new diagnoses, etc.). This information is vital for the safety of your treatment.
  • Infection Control: Our clinic adheres to the highest international standards of hygiene and sterilization. All staff receive regular training in infection control protocols. We will inform you of our current procedures.
  • Quality Assurance: We are committed to providing consistently high-quality dental care. Our quality management systems are designed to ensure every patient receives the best possible care.
  • Informed Consent: Before any treatment begins, you will receive detailed information about the proposed procedure, alternatives, potential risks, benefits, and expected outcomes. Once all your questions are answered, you will be asked to sign a written consent form confirming your agreement to proceed.
  • Media Consent: Your separate written consent will be obtained before using any photographs or videos of you for clinical documentation or social media purposes.
  • CCTV: CCTV cameras are installed on the clinic premises for the security of staff, patients, and property. Images are recorded and used in compliance with relevant data protection regulations (like KVKK/GDPR).
